Reform Coffee Terms & Services
Client Service Agreement Entered Into:
1. Purpose
Client wishes to hire Reform Coffee to provide custom coffee cart services as detailed in this Agreement. The Provider agrees to provide such services in accordance with the terms set forth below.
2. Services
Reform Coffee will provide a custom coffee cart service including equipment, staging, and beverages. Setup Time: No later than 45 minutes prior to the start of service. Strike Time: Immediately following service, unless otherwise agreed upon
3. Cost & Payment
Total Cost includes a 50% non-refundable retainer due upon signing. Balance Due: Remaining balance due no later than 14 days before event. Payment Methods: Cash, ACH, credit card (3.6% fee applies to all cc transactions) Failure to pay by the deadline will result in cancellation without refund.
4. Refund & Cancellation Policy
The 50% deposit is non-refundable under any circumstances. If the event is canceled more than 6 months in advance and was paid in full, the refundable portion (excluding deposit) is 50%. If canceled within 60 days of the event, the client is liable for the full remaining balance. In the rare event that Reform Coffee cannot fulfill the service, a full refund will be issued.
5. Weather Policy
Service may be canceled without refund if weather poses a danger to staff or equipment (rain, temperatures below 50°F or above 90°F without adequate cover/shade). The Client must secure an indoor or weather-proofed backup plan.
6. Rescheduling
Rescheduling is subject to availability. A 35% rescheduling fee may apply at Reforms discretion. If the new date is unavailable, all payments are forfeited.
7. Client Responsibilities
Provide (1) 20-amp circuit, 110v, 3 prong, dedicated power source. If client isnt able to provide power source, Reform Coffee reserves the right to conclude service without a refund. Ensure accessible path and clear setup location (no stairs, elevator must be provided). $250 fee will be added for additional barista to accommodate unaccessible path. Provide vendor meals if food is served. No self-pouring alcohol. Client is responsible for damage to equipment caused by guest, not to exceed $15,000. Additional time beyond the agreed upon service is billed at $300-$500 per hour.
8. Service Limitations
Client does not keep leftover items provided by Reform Coffee. Reform Coffee is not liable for injuries or property damage related to service, except in cases of proven negligence.
9. Tip Jar / Gratuity
A tip jar (digital or cash) will be displayed at each event. This is only an option for personal events that do not exceed 50 guests. If the Client requests no tip jars: A 15% auto gratuity will be added for all services rendered for experiential marketing events and events with 50+ guest, auto gratuity is the only option If removed without notice, client will be charged 15% + $150 admin fee.
10. Venue & Third-Party Policies
Reform Coffee is not liable for changes in venue rules that restrict outside vendors. Client should confirm vendor access and permissions with the venue.
11. Force Majeure (Impossibility Clause)
Neither party shall be held liable for failure to perform due to events beyond their control (natural disasters, pandemics, etc.). Notice must be given within 5 days of any such event. If unresolved within 30 days, either party may terminate the agreement.
12. Health & Safety
Reform Coffee reserves the right to refuse service if: Venue is deemed unsafe, Guest or host sexually harass staff, Client or guests carry weapons or behave inappropriately. Host fails to provides adequate shelter from heat, rain, wind, and snow. Service must be indoors when weather is over 90 degrees Fahrenheit, under 50 degrees Fahrenheit, or extreme wind. Client will remain responsible for full payment.
13. Liability & Indemnification
Client agrees to indemnify and hold harmless Reform Coffee from any injury, illness, or property damage related to the event. Maximum damages payable shall not exceed the total amount paid under this contract.
14. Social Media Release
Client authorizes Reform Coffee to use photographs & videos from the event for promotional purposes. We will credit all creative partners in good faith when possible.
15. Governing Law
This Agreement shall be governed by and construed in accordance with the laws of the State of Florida
16. Entire Agreement
This document represents the entire agreement between the parties and supersedes any prior communications. Amendments must be in writing and signed by both parties.
