Reform Coffee β€” Conference Coffee Catering

Conference coffee catering
built for the break rush

Twenty five minutes, four hundred people, one shot at getting everybody caffeinated before the next session. That is the problem we set up to solve.

Reform Coffee espresso bar set up for a corporate event
The break nobody remembers fondly

Attendees will forgive
the keynote. Not the coffee.

Banquet urns go lukewarm in twenty minutes, the line backs into the hallway, and half the room walks out to find a real coffee shop. They come back late, and the next session starts thin.

Standard venue coffee

Urns on a table

  • Brewed early, lukewarm by the break
  • Billed per gallon on the banquet order
  • One line, no one moving it along
  • Drip or nothing
  • Attendees leave the building
The Reform way

A staffed espresso bar

  • Made to order, in front of your attendees
  • Flat rate, unlimited drinks, no per-cup billing
  • A barista whose job is keeping the line short
  • Espresso, cold brew, matcha and chai
  • A reason to stay in the room
How we size the bar

We plan around your agenda,
not a flat service window.

Send us the run of show. We work backwards from the breaks, because a conference is not one long service, it is three short surges with quiet in between.

We map the breaks

Headcount, break length and how many breaks. A hard twenty minute turn is a different build than an open two hour reception.

STEP ONE

We staff to the surge

Barista count is set by the peak, not the average. More hands on the bar for a packed break, fewer for a slow afternoon.

STEP TWO

We batch what we can

Cold brew and drip run alongside the espresso to absorb volume, so nobody waits behind twelve lattes for a black coffee.

STEP THREE

Ryan, this section describes the approach but has no numbers in it, and numbers are what would make it beat every competitor page on this SERP. Send me: drinks per hour for one barista and for two, the largest conference or expo you have served (headcount and days), and whether you can run more than one cart at once. I will turn this into a capacity table.

What shows up.

One flat rate covering the bar, the barista and every drink your attendees order. Packages start at $1,050.

A trained barista

On the bar for your full service window, working the line and keeping it moving.

The full drink list

Espresso, americanos, lattes, cappuccinos, cold brew, drip, matcha and chai. Hot or iced.

Organic Florida-roasted beans

Small batch, roasted by Trilogy in DeLand. Not commodity banquet coffee.

Oat and almond milk

Included as standard, never an upcharge, and enough of it for a full room.

Every cup and supply

Cups, lids, sleeves, napkins, sugars and syrups. Nothing lands on your venue order.

Setup and breakdown

We load in, build the bar, run service and clear out. Your team does nothing.

For the planner

The logistics questions, answered up front.

You are managing a floor plan, a load-in window and a venue contract. The coffee should be the easy line item.

  • A 6x6 footprint that fits a standard booth or a foyer corner
  • Indoor or outdoor, ballroom, lobby, courtyard or expo floor
  • Multi-day and repeat-day setups for full conferences
  • We coordinate load-in and dock timing with your venue
  • Certificate of insurance provided on request
  • One vendor contact from quote through breakdown

Two claims here I need you to sign off on. One, the power spec: do you run off a standard 110V outlet, do you need a dedicated circuit, or do you bring a generator? Planners ask this before they book and I left it off rather than guess. Two, convention centres with exclusive F&B contracts. If you have worked around one, that is a strong section. If you have not, say so and I will cut the claim.

What we cater.

Conferences and annual meetings

Morning arrival, mid-morning break, post-lunch slump. We set up once and cover all three.

Trade shows and expo booths

A branded bar inside your booth, pulling floor traffic to you instead of past you.

Corporate off-sites and summits

Leadership retreats and planning days where the room needs to stay sharp until four.

Multi-day conventions

Same bar, same barista, every morning. Attendees learn where it is by day two.

Sales kickoffs and launches

High energy mornings where the coffee is part of the production, not an afterthought.

Association and CE events

Long agendas, fixed break schedules, and a room that has to come back on time.

For exhibitors

The busiest booth on the floor
is the one with real coffee.

An espresso bar in your booth is not a catering line item, it is a traffic driver. It gives attendees a reason to stop, and it gives your team ninety seconds of conversation while the drink gets made.

Your logo on the drink

The latte printer puts your mark straight onto the foam. People photograph it before they drink it.

Cups that walk the floor

Branded cups leave your booth and advertise it in every aisle for the next twenty minutes.

A wrapped cart

The whole bar in your brand colours. See our brand activation work.

Where we work

Based in Sarasota, fully mobile, and used to travelling for multi-day events. Travel is built into your quote.

Questions planners ask

How much does conference coffee catering cost?

Packages start at $1,050 and cover the barista, the full drink list, all supplies, and setup and breakdown. It is a flat rate with unlimited drinks, so the cost does not climb with consumption the way a per-gallon banquet order does. Multi-day and multi-cart events are quoted together. See our full pricing page.

Can you cater a multi-day conference?

Yes, and it is one of the better ways to book us. We set up once and return each morning, which keeps the cost per day down and means attendees know exactly where to find the bar by day two.

What space do you need?

The bar fits a 6x6 foot footprint, which drops into a standard 10x10 booth with room for your team, or into a foyer corner without eating your registration space. We work indoors and outdoors, on ballroom carpet, lobby tile or an expo floor.

Can you brand the bar for our company or booth?

Yes. We print logos and custom artwork directly onto the drinks with a latte printer, put your name or logo on the cups, and can wrap the entire cart in your brand colours. For exhibitors this is the difference between a catering spend and a marketing spend.

Do you provide a certificate of insurance?

Yes, on request. Send us your venue's requirements when you book and we will get the COI over to them directly.

How far in advance should we book?

For a dated conference, as early as you have the date. Corporate bookings often come together on shorter notice than weddings, so if your event is close it is still worth asking. Call (941) 210-9095 and we will tell you straight away whether we can cover it.

Do you travel for events outside Tampa Bay?

Yes. We regularly work Sarasota, St. Petersburg, Clearwater, Orlando, Fort Myers and Miami, and we travel statewide for multi-day conferences. Travel is built into the quote so there are no surprises on the invoice.

Send us the run of show and we will build the bar around it.

Tell us the headcount, the venue and where the breaks fall. Quote back within one business day.
